About sold project listings
A sold project listing represents a property where the Contract of Sale has been executed. Depending on whether the sale is conditional or unconditional, the listing status is set to Not settled or Awaiting unconditional.
Recording a listing as sold allows you to capture purchaser details, sale information, deposit stages, and conditions linked to settlement. This ensures accurate tracking of the sales process and clear visibility of a project’s progress under History and transaction records.
Mark a project listing as sold
Once the Contract of Sale is executed, update the project listing to reflect the sale.
- From the side bar, select Sales > Projects
- Search for and open the relevant listing
- In the transaction panel, select Sold
The listing status updates to Not settled or Awaiting unconditional, depending on the sale type.
Add purchaser details
Adding all purchasers ensures sale records are complete.
- In the Purchaser section, select the pencil icon
- Search for an existing contact or add a new contact if not found
- Repeat this process if there is more than one purchaser
Purchasers save automatically. Select away from the modal to continue.
Add purchaser solicitor or conveyancer
Linking a solicitor or conveyancer ensures legal contacts are recorded correctly.
- In the Purchaser solicitor section, select the pencil icon
- Select the solicitor or conveyancer and their contact from the list
- Click Save
Enter sale details
Sale details determine how the listing is recorded and displayed.
- In the Sale details section, select the edit icon
- Enter the Sale Date and Sale Price
- Select the Sale Type:
- Sold by auction
- Sold before auction
- Sold after auction
- Private sale
- Optionally select Undisclosed, Sensitive, or Record price
- Enter the Settlement Expected Date
- Select Save
Add deposit stages
Deposit stages allow you to track instalment‑based deposits
- In the Deposit stages section, enter the deposit amount and due date
- Select + Add deposit for each additional stage (up to four)
- Select Save deposit stages
Add sale conditions
Conditions apply only to conditional sales.
- In the Conditions section, select the pencil icon
- Add each condition required before the sale becomes unconditional
- Select Save
If conditions are added, the listing status changes to Awaiting unconditional instead of Not settled.
