Reservation status auto alerts automatically notify you when a reservation changes status on a listing. They are designed to improve visibility of reservation activity without requiring manual checks or follow‑ups.
These alerts help ensure that you are informed when a reservation is:
- Added
- Sold
- Cancelled
- Expired
Reservation status auto alerts are particularly useful for teams managing multiple projects, where timely updates are critical for coordination and decision‑making.
Set up reservation status auto alerts
Reservation status auto alerts are created from system settings and apply across listings.
To create a reservation status auto alert:
- Go to: Settings > General > Auto alerts
- Click Add alert
- Enter a Name for the alert
- Set the Category to Listings
- Select a Trigger from one of the following reservation options:
- Reservation Added
- Reservation Sold
- Reservation Cancelled
- Reservation Due Date Reached
- Select an Action
- In Recipients, select Reservation consultant if the alert should notify the consultant assigned to the reservation
- (Optional) Apply filters such as Trigger office, Trigger group, or Property type if required
- Leave When set to Immediate to send the alert as soon as the reservation status changes
- Enter a Subject for the alert
- Enter the Message content
- Insert merge fields to display reservation and listing information dynamically
- Click Save
Once saved, reservation status auto alerts run automatically across all listings, sending notifications immediately when the selected reservation status changes.
