About reservation notes on sales advise reports
Reservation notes allow sales agents to record important information against a property reservation.
When used correctly, these notes remain linked to an active reservation and are included automatically in the Sales Advise PDF report, ensuring critical details are visible at the point of sale.
Add a reservation note to a project listing
You can add reservation notes directly from the project listing where the reservation exists.
To add a reservation note:
- Go to: Sales > Projects
- Select the relevant project listing
- Scroll down to the Reservations section
- Click the message icon next to the reservation
- Enter your reservation note
- Click Add a note
- (Optional) Tick Important note if the note should stand out
- Click Close
The message icon updates to display the total number of notes added to that reservation.
Reservation notes in sales advise reports
Reservation notes attached to an active reservation automatically carry through to the Sales Advise report once the property is sold.
The Sales Advise PDF follows specific rules to determine which notes are displayed.
Included on the Sales Advise PDF:
- Notes from the active reservation at the time of sale
- Reservation details associated with the sold property
Not included on the Sales Advise PDF:
- Notes from cancelled reservations
- Notes from expired reservations
You can generate the Sales Advise report from the property listing once the sale is confirmed.
To access sales advise report:
- Go to: Properties > Listing
- Open the Sale Details tab
- Click Save to PDF
- Generate the Sales Advise report
The generated PDF includes reservation details along with any applicable reservation notes from the active reservation.
The Sales Advise report behaves as follows:
- When a reserved property is sold, the generated PDF includes all active reservation details from the listing
- Notes attached to the active reservation are displayed under the reservation section in the PDF
- Notes linked to previous, cancelled, or expired reservations are not displayed
