About contact categories
Categories group contacts for easier filtering and management. A single contact can belong to multiple categories across different consultants.
Why Use Categories?
Categories act as filters when searching for contacts by consultant name in the Contact Search screen. They help consultants quickly find relevant contacts.
Categories can also be used to temporarily group contacts that require follow-up or data corrections. For example, if a number of contacts have incomplete or incorrectly entered details, you can assign them to a dedicated category and easily filter them for review later.
Add a new category
To create a new category:
- Go to: Settings > CRM > Set up Categories
- Click + Add contact category
- Enter a name for the category
- Toggle Protected to ON (optional) to restrict the category to authorised consultants
- Click Save
Tips:
- You can choose whether the category appears prominently in the app and set it as a unique category.
- Use 'Show in app' for categories that consultants need to access on mobile. Leave it off for internal or admin-only categories
Edit an existing category
To update a category name:
- In the sidebar, go to: Settings > CRM > Set up Categories
- Click the category name you want to edit
- Enter the new name
- Click Save
Delete a category
To remove a category:
- In the sidebar, go to: Settings > CRM > Set up Categories
- Click the category name you want to delete
- Click the Delete icon (top-right corner)
- In the confirmation window, review how many contacts are currently assigned to the category
- Enter the category name to confirm the deletion
- Click Delete to confirm
About unique categories
A unique category can be assigned to a contact only once by a single consultant.
If a consultant removes a unique category and another consultant adds it, the original consultant receives an email notification.
Example email:
Consultant for Category 'My Contact' changed for Contact 'Brad Pitt': From: (Agent) Angelina Jolie To: (Agent) Sarah Jessica-Parker By: (Agent) Sarah Jessica-Parker.
Default unique category: My Contact
Admins can create additional unique categories. If you don’t have admin access, contact your office administrator.
