About contact automation activity triggers

When contact automations are configured, they can be triggered in two different ways:

  • Manual = the logged-in consultant becomes the Trigger Consultant.
  • Automatic = the consultant who created the automation becomes the Trigger Consultant.

The trigger method determines which consultant is associated with the automation and who appears as the sender of any emails or tasks created by the automation.


Manual triggers

A manual trigger occurs when you perform an action within the system that matches the automation's WHEN condition.

For example, you might edit a sales voucher and set a settlement date that matches the automation criteria.

When this occurs:

  • The automation runs immediately
  • The logged-in consultant who made the change becomes the Trigger Consultant
  • Any emails or tasks created by the automation appear to come from that consultant

Manual triggers are the most reliable option when you want the Activity/Trigger Consultant to reflect the consultant currently working in the system.


Automatic triggers

An automatic trigger occurs in the background without a consultant being logged in.

A scheduled system service checks once per day for records that match an automation's WHEN condition. If a match is found, the automation runs automatically.

When this occurs:

  • No consultant is logged in when the automation runs
  • No contact activity is available to determine the Trigger Consultant
  • The consultant who originally created the automation is used as the Trigger Consultant
  • Any emails or tasks created by the automation appear to come from the automation creator

Because automatic triggers run in the background, the Activity/Trigger Consultant may not represent the consultant associated with the property or contact.


Recommendations

If you want emails to consistently appear as though they are being sent by the consultant associated with the property, select the relevant consultant role as the default contact automation consultant.

Examples include:

  • Listing Consultant 1
  • Advertising Consultant 1
  • Any other consultant role linked to the property

Using Activity/Trigger Consultant is only reliable when the automation is triggered manually by a logged-in consultant. It should not be relied on when automations run automatically in the background.

For consistent email ownership and branding, it is recommended that you select the property-linked consultant role rather than Activity/Trigger Consultant whenever possible.
