About Custom Fields
Custom fields let you extend the standard fields available in Box+Dice and apply them to the following:
- Listings
- Appraisals
- Contacts
- Rentals
- Rental Appraisals
Each office group can create and manage its own set of Custom Fields. This means one agency’s fields do not affect another’s, allowing each group to tailor fields to its own processes.
A new dedicated Custom Fields settings page gives authorised users full control to create, edit and manage their office group’s fields.
How custom fields work
Custom fields are created and managed at the office group level.
This ensures:
- Each group can define fields specific to its needs
- Fields do not impact or interfere with other agencies
- Fields remain consistent across listings, appraisals, rentals and contacts within the same office group
Set up Custom Fields
To create a custom fields:
- Go to: Settings
- Select Custom Fields
- Select the item type you want to apply the field to (e.g., Sales Listing, Sales Appraisal, Contact, Rental Listing, Rental Appraisal)
- Click the +Add button to create a new custom field
- Enter the Label or name of your custom field
- Select the type of field (e.g. text field, number, dropdown, etc.)
- Enter the Help Text (This is optional, used as guidance displayed to users)
- Tick Required if the field must be completed
- Click Save
To modify an existing field:
- Select it from the list and edit
- Click Save to apply your changes across your office group
Once you save a custom field, it becomes available across the object types you selected. When you go to edit a Sales Listing, Appraisal, Contact, Rental, or Rental Appraisal, you will now see a custom fields section within the edit screen.
View and edit custom field values
Custom field values are displayed directly within records so you can view additional information without relying on table views or search screens. Only users with the appropriate permissions can edit custom field values.
On contacts:
- Custom fields are displayed in the 'Other Details' tab on the contact timeline
- All custom fields and their current values are shown in one place
- Users with edit access can select the edit icon to update values
On sales listings:
- Custom fields appear on the main listing tab
- They are shown between the Vendor section and the Advertising section
On appraisals, rentals and rental appraisals
- Custom fields appear on the main record tab
- Placement is consistent across appraisal and rental record types
Custom Fields as columns and filters
Custom fields don’t just appear inside individual records; they can also be used to improve how you search, sort and manage information across the system.
Once a custom field has been created for your office group, it will be available to use as:
Custom field as a column in table views
Custom Fields can be added as columns on list pages such as Listings, Appraisals, Contacts, Rentals, and Rental Appraisals.
Adding the custom field as a column allows you to scan values quickly without opening each record individually.
This is especially useful for fields used to track internal processes, classifications, or unique business requirements.
To add a custom field as a column:
- Open the relevant module (e.g. Sales Listings)
- Switch to Table view
- Click Edit Columns at the top of the page
- Use the search bar to find your custom field (e.g. “Jema Test”)
- Click the + icon to add it to your Selected Columns list
- Click Save
Your custom field will now appear as a new column in the table.
Custom field as a filter
Custom fields also appear as filter options on related list pages.
This allows you to:
- Filter listings by a custom field value
- Identify contacts with a specific custom tag or category
- Sort appraisals or rentals based on your office‑defined criteria
Using custom fields as filters gives each office group more control over how they segment and track their data throughout the system.
Custom Fields in library templates
Custom fields can also be used as merge fields in your library templates, to be included in emails, SMS, letters, and reports. They will appear underneath the standard merge fields for the appropriate category type when editing your template.
Custom Fields in GRAB
Custom fields can also be used in custom GRAB reports (for example a brochure or stock list), and GRAB websites (if Box+Dice built your site).
