Learn how to credit an unused advertising item in Box+Dice.

This article covers:

Overview

If an advertising item in a campaign won’t be used, it’s important to credit or adjust it in Box+Dice to keep your invoices and reports accurate. This helps avoid overcharging vendors, ensures clean financial records, and keeps your campaign data clear and reliable. Whether you remove the item, set its cost to zero, apply a discount, or add a credit to the invoice, each option helps maintain transparency and professionalism in your sales process.

Remove the item altogether

When the item is no longer needed and should be completely removed from the campaign, you can remove the item altogether.

To remove the item:

  • Go to: Sales > Listings
  • Select the Sales Listing
  • Click Campaigns
  • Hover over the unused item in the campaign list
  • Click the Trash can icon

Change the item’s cost to zero

Use this option when the item stays in the campaign but has no charge.

To change the Item’s cost to zero:

  • Go to: Sales > Listings
  • Select the Sales Listing
  • Click the Campaign tab
  • Hover over the unused item
  • In the Estimate Amount field, change the value to 0

When prompted, confirm the Auto-update Invoice so the invoice reflects the new amount.

Apply a 100% discount

When the vendor should not be charged, but the item cost will instead be covered by the agency or consultant, you can apply a 100% discount.

To apply a 100% discount:

  • Go to: Sales > Listings
  • Select the Sales Listing
  • Click the Campaign tab
  • Click the item
  • In the Discount field, enter the full cost of the item
    • (e.g., if the cost is $250, apply a $250 discount)
  • Select a Discount Funder to record whether the cost will be covered by the agency off-the-top, the office, or a consultant
  • Click Save
  • Add a note explaining why the discount was applied

If the campaign isn’t proceeding and the item no longer requires payment, manually mark it as paid on the sales receipt to prevent it from appearing as unpaid.

Add a Credit Amount to the Invoice

To adjust the vendor’s invoice without affecting the overall campaign totals, add a credit amount directly to the invoice.

To add a credit amount:

  • Go to: Sales > Listings
  • Select the Sales Listing
  • Click the Accounting tab
  • Select the relevant invoice
  • Click Add a Credit Item
  • Enter the credit description (e.g., “Unused Advertising Credit”)
  • Enter the credit amount (the unused item’s cost)
  • Click Save
  • Re-issue the updated invoice to the vendor
  • (Optional) Add a Campaign Note so the reason is documented
Note: This option only changes the invoice balance. The campaign will still show the original cost, and the item will remain marked as unpaid in campaign reports.
