Overview

Tasks help you track actions that need to be completed for contacts, listings, and appraisals. They can be created manually or automatically through task templates and workflows.

Tasks are displayed in two views within a record: list view and column view. List view shows tasks in a compact, scrollable list, while column view visually groups tasks by workflow and template so you can quickly see progress.

You can use these views to manage workloads, action tasks efficiently, and monitor the status of active workflows.


Use list view and column view

Tasks can be displayed in either list view or column view within a contact or listing record, depending on how you prefer to work and whether workflows have been applied.

  • List view displays tasks in a traditional list format with expandable details
  • Column view groups tasks into columns based on task templates and ad‑hoc tasks

Column view shows:

  • Tasks ordered within each workflow
  • Visual progress indicators
  • A clear overview of workflow completion

Reorder tasks in column view

You can adjust the order of tasks within the same column to match the real‑world sequence of work.

To reorder tasks:

  • Click Column view
  • Drag a task up or down within its column to change the order
Note: Tasks cannot be moved between columns, as each task belongs to a specific template or ad‑hoc group.

View tasks from a contact

You can view and action tasks directly from a contact record.

To view tasks from a contact:

  • Go to: Contacts
  • Select the relevant contact
  • View tasks in the right‑hand panel, or
  • Click the Tasks tab to see all tasks linked to the contact
  • Switch between List view and Column view as needed

Tasks shown may include ad-hoc tasks and those created through templates or workflows.


View tasks from a listing or appraisal

When you open a listing or appraisal, related tasks are visible directly on the record. You can also access all tasks from the Tasks tab.

To view tasks from a listing or appraisal:

  • Go to: Listings or Appraisals
  • Open the relevant property
  • View tasks directly within the listing or appraisal record, or
  • Click the Tasks tab to see all related tasks in detail
  • Switch between List view and Column view if needed

Edit or action a task

Tasks can be edited from any task view.

To edit a task:

  • Open the Task Manager, Quick Tasks or a Task List on a contact, listing, or appraisal
  • Click the task or hover over the task to reveal the pen icon
  • Update task details as required
  • Click Save

Changes are applied immediately and reflected wherever the task appears.
