Overview

Automations help you save time by automatically performing tasks when something happens in Box+Dice.

Instead of completing repetitive tasks manually, you can create an automation that responds to an event and performs one or more actions for you.

For example, an automation can:

  • Create a task for a team member
  • Send an internal notification
  • Email a client or staff member
  • Send an SMS message
  • Wait for a period of time before continuing with the next step

Automations combine the previous Auto Alerts and Contact Automations features into one central place, making it easier to manage all automated workflows.


Create a new automation

To create an automation:

  • Go to: Settings > Automations
  • Select Automations
  • Click + New Automation in the top-right corner

A setup window will appear — make sure pop-ups are enabled in your browser to continue.

  • Select a Trigger Category
  • Select the relevant Trigger Type
  • Click Create
Tip: One available trigger under the Listings category is the Listing File Expiry Date Reached, which can be used to notify the right users when a listing file is approaching its expiry date. This is useful for documents that must be reviewed, replaced, or removed before they expire.
  • Enter an Automation Name and optional Description

Build your workflow

After creating the automation, you'll be taken to the Automation Builder, where you define what happens after the trigger occurs.

Using the automation builder, you can create workflows that include:

  • Conditions - Based on criteria such as Office, Consultant Group, or Property Type
  • Actions - Create Task, Notification, Notification + Email, Notification + SMS, Dashboard Post, Apply Task Template, Send Email Template, and Send SMS Template
  • Flow controls - Such as Wait/Delay, allowing actions to occur at a later time rather than immediately

Automations can also include multiple actions and decision points within the same workflow, allowing different outcomes depending on whether conditions are met.

For example, a single automation can:

  • Create a follow-up task
  • Notify an internal team member
  • Send a templated email to a contact
  • Send a templated SMS to a contact
  • Wait for a specified period before continuing to the next step

When your automation is ready:

  • Click Save as draft to save the automation without activating it or,
  • Click Save & Activate to make the automation active
Note: Automations can be saved as drafts before being activated, allowing you to review and refine workflows before they begin running.

Once created, automations are available from the main Settings > Automations page, where you can manage active, inactive, and archived automations, duplicate existing workflows, and review automation activity.
