Learn how to locate external ledger references to streamline trust reconciliation and automate receipt generation.
This article covers:
Overview
External ledger references are unique identifiers that help link client deposits to specific transactions or listings within your trust account. This is useful when importing bank statements, as it allows the system to automatically match incoming funds with the correct ledger entry—saving time and reducing manual errors.
These references act like a payment tag that clients can include when transferring funds. Once the bank statement is imported, Box + Dice uses the external ledger reference to identify the correct transaction and auto-generate a trust receipt.
View external ledger references
You can view and manage external ledger references from both the Trust sub-tab of a listing and the Ledger screen, ensuring visibility across your accounting workflow.
To view external ledger references:
- Go to: Sales > Listings > Accounting tab
- Click Trust or
- Click the Ledger
You will be redirected to the Ledger’s screen where you can see the external ledger reference number.
Provide this reference number to clients to use as the lodgement reference when making payments into your trust account.
When importing bank statements, external ledger references help match deposits to the correct client. The system will use the external ledger reference to identify matching deposits and auto-create trust receipts.
