About listing information
Listing information fields define how a property is managed, displayed, and reported within the system and across external portals.
These fields control everything from pricing and campaign timelines to consultant assignments and portal visibility.
Accurate completion of listing information ensures listings display correctly online, supports reporting, and helps maintain compliance with advertising requirements.
Understand general listing fields
These fields define the core details of the listing and its campaign setup.
- Listing Type - The type of listing, will normally be Private Sale or Auction, different portals may only accept certain listing types
- Auction Date / End Date/Time - If your listing type is Auction you can set the date of the auction, otherwise there is an optional end date for the listing
- Auctioneer - If your type is set to Auction you can also put in an Auctioneer to create an appointment for with the auction date/time set in previous fields
- Date Listed - This field should be auto populated but is editable if necessary, it is not passed on to portals but may be used in your website if it's through Box + Dice and on reports for Days on Market
- Listing Source - For internal reference and reporting only
- Authority Expiry - The date of your advertising authority expiry, you can enter, for example, "in 30 days" to have it automatically calculate from 30 days of your Date Listed field
- Campaign Start Date - The day your advertising campaign begins
- Advertising Authority - This field can either be entered here, or via the campaigns tab. Both fields will be updated
- Keysafe Number - This field is for internal purposes only
- File Reference - This field is for internal purposes only
- Solicitor Reference - This field is used in ABA files
- Auction / Passed in Auction - An internal flag if the property was passed in auction; only viewable through the listing information screen, and searchable in the sales screen
Understand pricing fields
Pricing fields control how property prices are displayed internally and on portals.
- Display Price - This is the field that will be shown on the portals. This is a text field so you can enter in whatever you like, however it must be 36 characters or less to successfully push to portals. This is the Sale Price if sold
- Authority Estimate - This is not sent to portals. It is for internal reference only
- Portal Price - This is a back end price sent to portals, they will use it as part of their search ordering
- Search Price - This will decide what search ranges your property will show when customers are searching on the portals
- Vendor Price - This field is for internal purposes only
Understand consultant and office fields
These fields define ownership and responsibility for the listing.
- Consultants - This is the reference for who the consultant is within Box + Dice and will appear on reports and other fields relating to this listing
- Advertising Consultants - These are the consultants that will appear on the portals
- Office - The office that is handling the listing
- Reporting Office - The office that the listing was created from. This should be different to the Office field in the cases of internal conjunctional sales
Understand visibility and web settings
These settings control how listings appear internally and on external platforms.
- Undisclosed Address - Toggle on if you do not wish the address to be shown on portals.

Hide - If toggled on, it will:
- Hides a listing from some internal reports within Box+Dice
- Listing is not shown in search results in Agent App or Prospecting, unless there are no status filters selected
- Hidden Sold listings will not be available in Blast
- Hidden Sold listings will not be included in E-AlertsNote: The Hide toggle has no impact on what is shared through the Portal Uploader feature. But this can also be utilised by some Integrations. However, it is up to the 3rd party’s discretion to decide what to do with such information they pull from the database. - Undisclosed Price - Toggle on if you do not wish the price to be shown on portals
- Listing Under Offer - Toggle on if you want the listing to be flagged as under offer on the portals
- Situation Very Sensitive - A flag to let your other staff know of a sensitive situation
- Alert Client - This will need to be toggled on in order for the listing to be sent out with E-Alerts
- Listing URL - This should normally be a link to the listing on your website or REA, and will be used in Blast emails that link to a property. This may be automatically populated if you have a GRAB website or if enabled in your CampaignTrack integration
- Virtual Tour URL - This will be displayed as an external link on REA, which would normally be used if you have a virtual tour such as through diakrit
- Video Link URL - If a valid URL is entered this will be displayed as a video on portals or your GRAB website. Video must be hosted on YouTube or Vimeo and if you are using YouTube you must use the full URL rather than the shortened one, copy the URL from the URL bar in your browser rather than using the share link in Youtube
- Interactive Floor Plan URL - An optional field to put in a link to an external floor plan
- Internet Hits - This field is for internal purposes only. It is used in certain Library reports, such as the Market Place report
- Web Reference - This field is for internal purposes only. Max 10 characters
- Feature Property Type - Populate this field to have this listing appear to be selected from your Blast templates, and GRAB website

My Website Status - If your website is with Box + Dice you will need to choose Current/Sold to have it displayed on your website, or set it to "Hidden" to remove it from your website. This setting is also a requirement for some custom reports (such as a Rental Stocklist) so check with your office champion if you will need to use it
Note: If you utilise the Website API, it is recommended to also choose a ‘My Website Status’.However, it is up to the 3rd party’s discretion to decide what to do with such information they pull from the database.
- Add another link to listing - Can be used to add additional links to some portals who accept the additional links.
