Add key safe numbers and generate key register reports

About key safe numbers

The Key Safe Number field allows you to store and track the key safe details associated with a listing. This information can then be used to create reports in the Sales section, helping teams maintain visibility and manage access details efficiently.

Record a key safe number on a listing

To add a key safe number:

• Go to: Sales > Listings
• Select the relevant listing
• Click the pencil icon next to Listing Information

• Enter the details into the Key Safe Number field

• Click Save

Generate a key safe number report

A report can then be built using the Sales screen filters. 

To generate the report:

• Go to: Sales > Listings
• Click + Add Filter Item

• Select Key Safe Number
• Choose the condition is known

• Click Apply

The screen will reload with listings that have key safe numbers. You can now customise the columns based on your preferences.

Edit columns for key safe number report

To edit columns for the report:

• Click the Table view
• Click Edit Columns

• Search for Key Safe Number
• Drag and drop the field from the left panel to the right to position the column
• Remove any unnecessary columns if needed

• Click Save

This will update how the columns are displayed in your screen and how they appear when exported.

Export the key register report

To export the report:

• Select all records
• Click More
• Select Export to Word or CSV

The file will automatically download (CSV format if selected), allowing you to access and use the key register report outside the system.
