Overview
If you receive a message indicating that funds are not available when processing a trust payment, it usually means one of the following:
- The funds have not been presented in the Reconciliation screen.
- The cheque clearance period has not yet expired.
These steps will help you locate and resolve the issue so payments can be processed successfully.
Present funds in reconciliation
Funds must be marked as presented before they can be used for payments. Presented means the transaction has appeared on your bank statement and can now be used for payment or reconciliation.
To present funds:
- Go to: Accounting > Trust
- Click Reconciliation
- Select the relevant Trust Account from the drop-down list
- Tick Unpresented to filter transactions
- Scroll down to Transactions after Closing Date
- Tick the checkbox beside the transaction
- Click Mark # Transaction as Presented
Once presented, the transaction will be removed from the Unpresented list and moved to the Presented section. The funds will be available for use immediately after they are marked as presented.
Check cheque clearance dates
If the transaction was receipted as a cheque, the funds may still be unavailable due to the clearance date not yet being reached.
To check clearance status:
- Check the receipt type on the transaction (e.g., Cheque)
- Confirm the clearance date — funds will only become available once this date is reached
