About exporting from filter results
Use the contacts or properties filter screens to export the exact records you need, based on your applied filters and selected columns, into a CSV spreadsheet (Excel‑friendly) or a Word document. Export options are shown only when your Access Level includes permission to export.
Note: Export visibility is permission‑based; if you don’t see export options, contact your administrator.
Important: Exported files may contain personal information; store and share them securely and in line with your agency’s data policies
Access and limitations
A few requirements and constraints apply:
- Permissions - Export options appear only for users whose Access Level allows exporting
- Record limits - Some environments cap self‑service exports at 500 records. If your export exceeds this, narrow your filters or request elevated permission to export more than 500 records
- Selection matters - Only the rows you select in the results grid are exported
Tip: If you regularly exceed 500 records, save a filter that narrows the scope (e.g., by status, date range, or team).
Export from the contacts filter screen
To export:
- Go to: Contacts
- Use the Filters panel to refine your list (e.g., by status, segment, activity)
- (Optional) Click Edit Columns to show/hide the columns so your export includes only relevant fields
- Use the row checkboxes for specific records or Select All to capture the entire filtered set (subject to export limits)
- Click More at the top of the results
- Select Export to CSV (for Excel/analytics) or Export to Word (for a formatted document)
- The file is downloaded to your device. Open CSV in Excel/Sheets; open Word in Microsoft Word
Export from the properties filter screen
To export:
- Go to: Properties
- Use the Filters panel to refine your list (e.g., Consultant, office)
- (Optional) Click Edit Columns to show/hide the columns so your export includes only relevant fields
- Use the row checkboxes for specific records or Select All to capture the entire filtered set (subject to export limits)
- Click More at the top of the results
- Select Export to CSV (for Excel/analytics)
- The file is downloaded to your device. Open CSV in Excel/Sheets
Tip: If “No results found,” clear existing filters click 'Reset', then reapply only what you need. This is a common cause of empty result sets on properties search.
Export format
- CSV (Comma‑Separated Values) - Best for Excel analysis, sorting, pivoting, and importing into other systems. CSV is a widely supported, system‑neutral format
- Wod (.doc/.docx) - Useful for shareable documents, mail‑merge, or quick printing with headings and paragraph formatting
