About filter criteria

Filter criteria define the conditions used to narrow your Contacts list. You can combine multiple filters and subfilters to create highly targeted segments for follow-up, marketing, or compliance.


Activity type

Events that link Properties, Contacts, and Consultants. Common options:

  • Go to: Contacts
  • Click the Activity Type search box

  • Appraisal - Appraisal, Cancelled, Listed
  • Appraisal Lead - Lead, Appraised, Dismissed, Task Created
  • BDM Lead - Lead, Appraised, Dismissed, Task Created
  • Buyer/Tenant - In, Out, Maybe, Closed, Web Lead
  • Owner / Past Owner
  • Vendor - Vendor, Cancelled, Sold, Settled
  • Purchaser - Purchaser / Purchased / Purchaser Cancelled
  • Rental Appraisal – Appraisal, Listed, Cancelled
  • Sold By Other

Other filter fields

When creating a filter:

  • Go to: Contacts
  • Click Add Filter Item

In the Add filter modal’s first column

  • Categories - Segment contacts by custom category; add a subfilter for Category Consultant.
  • Building/Project - Isolate contacts in a specific building or project
  • Contact Added - Filter by date range (e.g., weekend additions)
  • Contact Type - Company, Person, Supplier, Solicitor
  • Last Recorded Contact - Build “living To-Do” lists (e.g., owners not contacted this year)
  • Email / Mobile - Find contacts with or without email addresses or mobile numbers
  • Email Blast Permission / Email Permission - Filter by permitted/not permitted
  • SMS Permission / Letter Permission - Filter by permitted/not permitted
  • Future Task/Appointment - Locate contacts with no planned future activity
  • Property Areas / Street / Suburb (Residential) - Target by geography; combine Street + Suburb for precision
  • Tags (Residential) - Filter by property/home tags
  • Consultant / Office - Contacts linked to a consultant or office
  • Matching Criteria - Combine for buyer/seller segments:
    • Baths, Beds, Car Spaces
    • E-Alert Status
    • House/Floor Size, Land Size
    • Looking for (Sales/Rentals)
    • Building Material, Building/Project
    • Property Areas, Features, Styles, Type, View
    • Suburbs
    • Rental Price, Sales Price
    • Return % PA
    • Rooms

Tips for building effective filters

  • Combine Last Recorded Contact with Tags for re-engagement lists
  • Use Future Task/Appointment to catch contacts who’ve “fallen through the cracks”
  • Always test complex filters before saving to avoid empty results
