Summary
Understand how lead capture automatically imports web enquiries from major property portals keeping your leads organised, secure, and easy to follow up.
This article covers:
Overview
Lead Capture automates how your office handles online enquiries by importing them directly from major property portals such as realestate.com.au, realestate.co.nz, trademe.co.nz, and domain.com.au.
It eliminates manual data entry and ensures every enquiry is safely stored in your Box+Dice database for efficient follow-up.
Key benefits:
- Automatically imports enquiries—no manual rekeying required
- Keeps leads secure in your database instead of inboxes
- Displays buyers in the buyer leads screen (separate from qualified buyers)
- Optionally assigns follow-up tasks to listing consultants
- Sends optional automated responses to new enquiries
Portal setup and compatibility
Lead Capture integrates with:
- realestate.com.au
- realestate.co.nz
- trademe.co.nz
- domain.com.au
Access Lead Capture
After you’ve enabled lead capture, you can access it under the more button in the main sidebar.
To view and manage your enquiries:
- Go to: More > Lead Capture
The dashboard displays enquiries from the last 60 days. Older enquiries remain accessible in the Contact timeline and Buyer Register screens.
- Review current and past enquiries
- Focus in more detail by Property or by Contact
- Resolve any enquiries that couldn’t import automatically (e.g., duplicate contact emails)
Contact matching
Lead Capture requires an exact match across all of the following fields:
- First Name
- Last Name
- Mobile or Email
All required fields must match 100% exactly for the enquiry to link to an existing contact. If any field varies—even slightly—the system may create a new contact to avoid errors. Examples of variations that cause a new contact to be created include:
- Minor spelling differences (e.g., Alby vs Albie)
- Shared or reused emails
- Shared mobile numbers
This prevents unrelated individuals from being merged incorrectly.
Note: The duplicate‑prevention settings located under Settings > CRM > Manage Duplicate Contacts determine how Lead Capture creates or matches contacts.
When the setting 'Prevent automated systems from creating duplicates when: Email is a 100% match, or Mobile is a 100% match' is enabled, Lead Capture will not create a new contact if either the email or the mobile number already exists in the database — even when the first name or last name is different.
