About contact qualification

Contact Qualification controls which users can access specific contacts within the database. When enabled, users must be qualified to view and interact with a contact.

This feature ensures that contact visibility is restricted based on user activity and relationships, helping maintain data security and ownership.

To enable Contact Qualification:

  • Go to: Settings > CRM > Contact Qualification
  • Select how contacts are shared under Client Qualification:
    • Share within Office - allows sharing within your office
    • Share within Office Group - allows sharing across your office group
  • (Optional) Enable Apply qualification rule when deduplicating contacts
  • Click Save
Note: If you need to disable the feature, you will need to contact support for assistance.

About qualification criteria

For a contact to appear when selecting yourself in the consultant filter, at least one of the following conditions must be met:

  • You manage an activity related to the contact (Owner, Vendor, Buyer, or Purchaser)
  • A category is assigned to the contact under your name
  • You have a past or future task associated with the contact
  • You have had communication with the contact (email, SMS, or letter)
  • You originally created the contact in the database

Any of these will qualify you to access the contact.

You may also gain access if another user shares their contacts with you through their staff settings.


About ongoing qualification access

Once a contact is qualified for you, it remains qualified even if the original condition is removed.

For example:
If a category initially gives you access to a contact and that category is later removed, you will still retain access.

The only exception is if broader sharing settings (such as office or group sharing) are changed.

If Contact Qualification is enabled after contacts already exist in the database:

  • Existing users will retain access to contacts already in the system
  • New contacts added after this will require qualification to be visible
  • New users will only have access to contacts they are qualified to view
