About inspection reasons
Inspection reasons define the purpose of an inspection and control how it behaves across listings, portals, and uploads. Each reason determines whether an appointment is created, whether the inspection appears on portals, and whether it is uploaded to media vendors.
Using the correct inspection reason helps ensure inspections are advertised correctly, agents are assigned appropriately, and listings display accurate inspection information under History and on connected portals.
Inspection reason types
Each inspection reason has a specific purpose and behaviour.
Open
The most commonly used inspection reason. Use this when advertising open for inspection times, especially if you use CT or Portal Loading.

Auction
Used to indicate the time of the property auction. This reason is typically assigned to the auctioneer rather than for public inspection attendance.

- Not visible on portals

Assist
Used when assisting at an auction rather than hosting an open inspection.
- Creates an appointment for agent
- Not visible on portals
- Uploaded to portals and media vendors
Open and Assist
Used when attending an open for inspection and then assisting at the auction.

- Uploaded to portals and media vendors
By Appointment
Indicates a property is available for private inspections by arrangement with the vendor or tenant. Agent 1 is shown as the contact person.

- Days (not times) appear on the OFI list with Agent 1’s initials
- Not visible on portals
- Not uploaded to portals or media vendors
Property Run
Used for internal team viewings before a listing is marketed to the public.

Add inspection reasons
System inspection reasons are required for web portal loading and cannot be removed or edited. Users with admin access can add and manage custom inspection reasons.
To add inspection reasons:
- Go to: Settings > Listings > Open/Inspection Time Setup
- Under Open/Inspection time reasons, click + Add reason
- Enter the new inspection reason and select Save
Custom inspection reasons that are not system‑set can be edited by selecting the reason description, updating the name, and selecting Save.
Configure inspection time format
To select the time format for Inspections:
- Under Open/Inspection time reasons
- Scroll to Open Time Format
- Select 12 hour format or 24 hour format
