Learn how to add matching criteria to a contact to automatically connect them with relevant property listings.

Overview

Matching Criteria help you identify properties that meet a contact’s preferences and automatically connect them with relevant listings. 
You can set up multiple criteria for each contact to ensure accurate matching and support automated e-alerts.

Note: You can send e-alerts to both buyers and potential tenants. Simply select sales or rentals when setting up the matching criteria.

Add matching criteria

To add matching criteria to a contact:

  • Go to: Contacts
  • Select the desired contact record
  • Under Matching Criteria, Click + icon

  • Select whether the criteria should match against Sales or Rental listings
  • Fill any available criteria fields

  • Click Save once all relevant fields are completed
Note: Leaving a field blank means that all listings will match that contact for that specific category.

Available matching criteria fields

Each field helps refine how listings are matched to a contact:

  • Lower Price Range - Match listings with a minimum price equal to or above this value
  • Upper Price Range - Match listings with a maximum price equal to or below this value
  • Suburbs - Match listings located within the specified suburbs
  • Buildings/Projects - Match listings within the selected building or project
  • Listing Office - Match listings associated with a particular office
  • Notes - Add internal notes about what the contact is seeking
  • Beds - Match listings with the specified number of bedrooms
  • Cars - Match listings with at least the selected number of car spaces
  • Baths - Match listings with the specified number of bathrooms
  • Rooms - Match listings with the specified total number of rooms


Advanced criteria fields

Use these advanced options to further refine your contact’s property preferences. 
These filters help target specific listing characteristics, performance metrics, and features.

  • House/Floor Size - Match listings where the building area falls within the defined range
  • Land Size - Match listings within a set land area range
  • % Return PA - Match commercial listings within a specified annual return range
  • Property Views - Filter listings based on specific views (e.g., Ocean, City, Harbour, Mountain)
  • Building Materials - Select preferred materials (e.g., Brick Veneer, Weatherboard, Double Brick, Steel Roof)
  • Property Features - Choose from a wide range of property features such as Air Conditioning, Balcony, Outdoor Spa, Solar Panels, Gym, Fireplace, and more
  • Property Styles - Filter listings by architectural style (e.g., Victorian, Federation, Contemporary, Edwardian)
  • Property Tags - Add unique identifiers or tags such as Beachfront, Off Market, Land Project, or Waterfront
  • Property Categories - Match listings by property type or category
  • Notes - Add additional details or comments to capture niche preferences or client remarks


Manage matched listings

Each set of criteria appears on the main contact screen, showing a summary and the number of matched listings.  

To manage matched listings:

  • Click the pencil icon to edit or update it later
  • Click Matching Listings to view all properties meeting that contact’s preferences
