About the AML Compliance Module
The AML Compliance Module allows your team to complete required due diligence checks for contacts and associate those checks with relevant listings and appraisals. This ensures your vendors and purchasers meet compliance requirements before reaching the sold stage.
Enable the AML Compliance Module
Before you can run AML checks, the feature must be enabled in your system settings.
To enable the feature:
- Go to: Settings > CRM
- Select AML/CTF Due Diligence Settings
- Tick Enabled
- Click Save
Prevent portal loading when AML is incomplete
You can optionally enforce a compliance gate that prevents a property from being uploaded to property portals if the vendor’s AML check is incomplete.
This setting provides a hard stop to ensure properties do not go live online before AML requirements are met.
To enable the AML portal loading blocker:
- Go to: Settings > CRM
- Select AML/CTF Due Diligence Settings
- Tick Prevent portal loading if vendor AML is incomplete
- Select Save
When this setting is enabled:
- Listings cannot be uploaded to portals if vendor AML is not completed
- The restriction applies only when AML is enabled
- Compliance is enforced at the point of portal upload
Start a New AML Check from a contact
Each contact will display a button to begin AML due diligence once the module is enabled.
To start an AML check:
- Go to: Contacts
- Open a Contact record
- Select Start New AML at the top of the profile
- Fill in the details for the AML check:
- Select Status
- Add any required attachments, such as certificates from your AML provider
- Select Listings to link the AML check to the relevant listing
- Click Save to record the check
Manage AML Checks from a listing
You can also view and update AML status directly within a listing.
To manage AML from the listing:
- Go to: Sales > Listings
- Select the relevant listing
- Scroll to the Vendors section
- Review the AML status for each contact:
- Green - AML completed
- Yellow - AML check in progress
- Blue - Recent AML exists but not linked to this listing
- White - No AML check started
For contacts in progress:
- Click AML In progress
- Select the Status to Complete
- Click Save
For contacts with an existing AML check:
- Click Use existing AML to link that check to the listing
For contacts with no AML history:
- Select Start New AML
- Fill in the details for the AML check
- Click Save
Manage AML Checks from an appraisal
You can also view and update AML status directly within an appraisal.
To manage AML from the appraisal:
- Go to: Sales > Appraisals
- Select the relevant appraisal
- Scroll to the Appraisal Contacts section
- Review the AML status for each contact
Completing AML at the appraisal stage supports workflows where due diligence is required before a listing authority is signed and allows the AML record to carry through if the appraisal is later converted to a listing.
