About cancelling a sale

When a sale falls through, there are two main ways to manage the process in Box+Dice. The method you choose depends on your business needs and how you want to handle records.

  • Whether you want to retain or remove the failed purchaser
  • Your billing setup (per listing or per user)
  • Whether a campaign is linked to an external provider
  • Whether portal feeds are connected to the listing

Each method offers a different approach to maintaining data and preparing for a subsequent sale.


Method 1: Cancel and reinstate the listing

This method removes the failed purchaser and prepares the listing for a new sale. It is the recommended option due to its simplicity.

To cancel and reinstate the listing:

  • Go to: Sales > Listings
  • Open the Listing
  • Click Cancel in the transaction panel
  • Select Yes to confirm
  • Click Reinstate
  • Select any information to retain (e.g. commission, splits, deductions)
  • Click Reinstate
  • Once a new purchaser is found, process the sale as normal

If required, details of the failed purchaser or cancelled sale can be recorded as a note on the Listing, Contact, or Buyer record.

When adding a new purchaser, you will have the option to remove previous purchasers from the ledger. This option is selected by default.

Commission from cancelled sale:

  • Add the commission to the new sale
  • Enter the combined amount
  • Include details in the Commission Description

Method 2: Cancel and create a new listing

This method retains the cancelled sale and failed purchaser in the system, while creating a new listing for the next sale. It is useful for maintaining a complete transaction history.

  • Go to: Sales > Listings
  • Open the Listing
  • Ensure commission details are completed in Sale Details
  • Enter a date in Release Deposit Actual Date
  • Generate a commission invoice if required
  • Click the Cancel link in the blue transaction box on the left
Note: If required, details of the failed purchaser or cancelled sale can be recorded as a note on the Listing, Contact, or Buyer record.

Points to consider: 

  • Additional charges may apply if you are billed per listing
  • Campaigns linked to media providers may need to be relinked
  • Portal feeds must be reconfigured for the new listing
  • Vendor trust funds may need to be transferred to the new listing
  • Refunds to the failed purchaser can be processed from the cancelled listing ledger
