Overview

A listing should be recorded as sold as soon as the Contract of Sale has been executed. Sold listings are assigned a status of Not Settled or Awaiting Unconditional, depending on whether the sale is unconditional or conditional.

Recording a listing as sold ensures accurate tracking of sale progress, financial details, and reporting across the system.


Mark a listing as sold

To mark a listing as sold

  • Go to: Sales > Listings
  • Search for and open the listing
  • Select the listing and click Sold in the Transactions panel

Enter sale details

  • Add purchaser details by selecting the Purchaser section and searching or creating contacts
  • Add the Purchaser Solicitor/Conveyancer by selecting from the list
  • Click the pencil icon in Sale Details
  • Enter the Sale date and Sale price
  • Select the Sale type (e.g. Auction or Private Sale)
  • Enter the Deposit amount
  • Confirm or manually enter the Received deposit
  • Enter the Deposit release date
  • Enter the Settlement date
  • Click Save
Note: If the sale price is undisclosed, ensure this is selected in the Commissions or Listing Information screen so the price is not displayed publicly, particularly when using portal uploads or website integrations.

Add conditions to a sale

  • Click the pencil icon next to Conditions
  • Add each condition required before the sale becomes unconditional
  • Click Save
Note: If you add Conditions to the Sale Details the Listing Status will become Awaiting Unconditional rather than Not Settled.
