Overview
When a sale falls through, the listing must be updated to reflect the cancellation, and any deposit paid by the purchaser must be refunded. This ensures accurate reporting and financial records within the system.
Refunds are processed as trust payments and recorded in the listing’s accounting section, maintaining a clear audit trail of all financial activity.
Cancel a sale
To cancel a sale:
- Go to: Sales > Listings
- Open the Not Settled listing
- Click Cancel on the listing transaction box
- Click Yes to confirm cancellation
- The listing will move to the Cancelled status
Refund deposit to purchaser
Deposit refunds must be processed manually using a trust payment from the listing’s accounting section.
- Open the listing and go to the Accounting tab
- Click Add Trust Payment
- Select EFT as the payment method (for bank transfer)
- Choose Contact account if bank details are saved on the contact
- Or select Other account and enter the purchaser’s bank details manually
- Enter a Description
- Enter the refund Amount
- Click Save to record the payment in the ledger
Refunds must be processed as a trust payment to ensure they are correctly recorded in the financial ledger.
