Learn how to apply a Task Template to a contact to quickly assign predefined tasks and communication steps, helping you maintain consistency and efficiency when managing contact follow-ups or campaigns.

Overview
This feature lets you apply a previously created Task Template to an individual contact.
When applied, all tasks from the selected template are automatically generated for that contact — including task types, due dates, assigned consultants, and related property links.
Apply a task template to a contact
Go to: Contacts
Select the Contact
Click Apply Task Template
An Apply Task template modal will display where you can select and apply a pre-configured task template to the contact.
In the Apply Task Template modal:
Select a Task Template from the dropdown
Select the Consultant who will receive any tasks not already assigned to a specific consultant or role in the template
Enter the Commencement Date (optional as the date will auto-populate)
Tasks will be scheduled forward from this date.
If the campaign is related to a Property, Select the property in the dropdown
All properties linked to the contact will appear in this list.
If the contact has any Relationships, you can Select to include one or more of them in the created tasks
Related contacts will also appear in generated merge emails, SMS messages, and letters.
Click Apply
This applies the selected task template and generates all corresponding tasks for the contact.
Once applied, you can easily generate pre-configured communications from within the contact record.
Generate Letter, Email & SMS Templates
Letter, Email & SMS Templates can be generated from the Contact record by clicking into the task where you will see a generate button.
To do this:
Click into the relevant task that are either email, SMS messages, or letters tasks.
You’ll then see a “Generate” button appear for each available template type.
- Select Generate Email, Generate SMS, or Generate Letter
A new modal for Library Letters will display.
- Select the Recipient
- Select a Letter Template
- Select a Property linked to the contact
- Click Preview to view the letter
- Click Save to PDF
When a task is complete, mark it as completed in the Tasks window or directly from the Contact timeline view.
