Deactivate or delete a task template

Overview

Task templates help standardise workflows across the business. If a template is no longer required, it can either be deactivated or deleted, depending on whether it may be needed again in the future.

  • Deactivate a task template to remove it from use while keeping it available for future reactivation
  • Delete a task template to permanently remove it from the CRM

You can manage both:

  • Company Task Templates, shared by all consultants, and
  • Consultant Task Templates, visible only to the consultant who created them
Important: Deleting a task template cannot be undone.

Deactivate a task template

Deactivating a task template prevents it from being used to create new tasks, while allowing it to be reviewed, updated, or reactivated later.

This is the recommended approach if:

  • A template needs review or approval
  • A workflow is temporarily paused
  • The template may be reused in the future

To deactivate a task template:

  • Go to: Settings > CRM > Task Templates
  • Locate the task template in either: 
    • the Company list, or
    • the Consultant list
  • Click the task template to open it

  • Tick the Inactive checkbox

  • Click Save

The task template is now inactive and will no longer appear when creating new tasks.


Delete an entire task template

To delete a Task Template:

  • Go to: Settings > CRM > Task Templates
  • Locate the Task Template you want to delete from either: 
    • the Company list, or
    • the Consultant list
  • Click the Task Template
  • Click Delete

When deleting a task template, you can control what happens to tasks already created from it.

Existing tasks: 

  • Remain in the system if you choose not to delete them, or
  • Are permanently deleted if you select the option to remove associated tasks

In the confirmation popup: 

  • Tick whether you want to delete all tasks associated by the Task Template

  • Click Yes to confirm the deletion
Tip: If the tasks are still active or required for reporting, consider keeping the existing tasks and deleting only the template.
