Overview

Task Templates in Box+Dice help streamline your workflow by creating reusable sets of tasks for different scenarios—such as sales appraisals, listings, or contact follow-ups.

Each template can include multiple tasks, assigned roles, and due dates relative to the commencement date. Templates are also colour-coded and tagged, making them easy to identify on your task list.

Task Templates can be:

  • Created and managed from Settings > CRM > Task Templates, or

  • Created 'on the fly' via Apply Task Template > Add New Task Template on the Contact Detail screen

Note: Task templates created at the Consultant level are personal to that user and cannot be accessed by other users. If another user wants to use the same task template, it must be manually recreated.

Create a task template

To create a task template

  • Go to: Settings > CRM > Task Templates

  • Click + Add

In the Add Task Template modal:

  • Select Template Type (note that personal templates will only be accessible by you)

  • Select whether it’s related to Contact, Sales Appraisal, or Listing

  • Enter a Template Name (e.g. Appraisal Compliance Tasks)

  • Click Continue

The Edit Task Template modal will display.

  • Select a Template Colour to visually identify it later

  • Click + Add to create a new task item

  • Choose who the task is assigned to:
    • Consultant - a specific individual
    • Consultant group - assign task as a shared responsibility within a team
    • Role - such as the listing's consultant or listing office's administrator
Tips: 
When assigned to a consultant group, the task appears in all group members’ task lists. Once one person completes it, the task is cleared for everyone.
If the Task should be assigned to the Consultant that is selected when the Loyalty Campaign is applied, then leave the Consultant field blank.
  • Enter the number of Days, Weeks, Months or Years after the commencement date that you want the Task to fall due (note that this can be a negative value)
  • Select the relevant Task Type from the drop down menu as either Phone, Email, SMS, Letter, Task or Other
    • Phone - Type a small script into the Phone Script field
    • Email - You can optionally select a Library Email Template so when you later open the Task there will be a 'Generate Email' button
    • SMS - You can optionally select a Library SMS Template so when you later open the Task there will be a 'Generate SMS' button
    • Letter - You can optionally select a Library Letter Template so when you later open the Task there will be a 'Generate Letter' button
    • Task - A standard task. You can optionally pair with a Linked Action. See Add linked actions to task template items
    • Web Enquiry - Use this type for web-based form submissions or online contact requests. You can optionally pair with a Linked Action. 
    • Others - Select this for any miscellaneous actions not covered by the above task types. You can optionally pair with a Linked Action. 

For email‑based tasks linked to listings or sales appraisals, you can also define a task contact. This ensures communications are sent to the correct recipient when the template is applied.

You can choose:

  • A specific contact or
  • A role‑based contact, such as vendors, purchasers, or solicitors linked to the listing
  • Enter a Subject 
  • Enter a Task Note for detailed instructions on how to complete the task
  • Click Save

Repeat these steps for any additional tasks you wish to include in the template.

  • Click Save
Tip: Always include a final reminder task to assign a new loyalty or follow-up action, so no contacts are missed. If you experience issues adding a loyalty, check that your browser’s pop-up blocker is disabled.
