This article covers:

Overview

Task Templates help automate and standardise tasks applied to Contacts. Editing a Task Template allows you to update its tasks, change who they’re assigned to, adjust scheduling, or remove tasks that are no longer needed.

You can edit both:

  • Company Task Templates, which are shared across all Consultants, and
  • Consultant Task Templates, which are only visible to the Consultant who created them

When saving changes to a Task Template, users are prompted to decide whether those changes should also be applied to existing tasks created from the template.

Edit items within a task template

If you need to update task details such as the assignee, timing, or task type, edit the individual items in the template.

To edit items:

  • Go to: Settings > CRM > Task Templates
  • Select the Task Template you want to modify

Company campaigns are shared by all Consultants and Consultant campaigns are viewable only by the Consultant who created them.

  • Click the specific task item you want to edit

  • Assign a specific Consultant or role if the same user should receive the task every time
  • Leave this blank if the assignee should be selected when the template is applied
  • Schedule the number of days, weeks, or months after the commencement date the task should be scheduled
  • Update the Task Type
  • Update the Linked Action
  • Update the Subject
  • Edit the Task Note
  • Click Save to update the task item
  • Click Save again to save the Task Template
Tip: Leaving the Consultant or Role field blank gives more flexibility when applying the template to different Contacts.

Add or remove items in a task template

You can add new tasks or remove existing ones from a Task Template.
