About copying task templates

Task Templates in Box+Dice help standardise repeatable workflows across contacts, listings, and appraisals by creating reusable task sets with assigned roles, due dates, and linked actions. The copy or clone behaviour lets you duplicate an existing template and adjust only what needs to change, rather than recreating every checklist item manually.

This is especially useful for larger agencies where the head office may create a best-practice template, but individual offices may require small differences, such as different assignees, regional steps, or local compliance requirements.


Open Task Templates

Task Templates are managed from CRM settings. From there, you can view existing templates and open the one you want to copy.

To open Task Templates:

  • Go to Settings > CRM
  • Select Task Templates

You can then review the available templates and choose the one you want to copy. The Task Templates screen can include different template groupings, such as personal templates and broader shared or company templates, depending on your environment's configuration.


Copy a task template

Copying a template creates a new version of an existing checklist, allowing you to reuse the same structure while making targeted modifications. This approach helps reduce the effort needed to create similar checklists for different offices or teams.

To copy a task template:

  • Go to Settings > CRM > Task Templates
  • Find the template you want to reuse
  • Select the clone action for that template

  • Select Yes in the clone task template confirmation window
  • In the edit task template modal, update the template name so the new version can be identified easily
  • Make the changes you need to the copied checklist items

  • Select Save to update the copied template
Tip: Use a naming pattern that makes the copied version easy to recognise, such as the office name, region, or workflow purpose. This is especially helpful when you are creating local variants of a baseline compliance checklist.

Update the copied template

Once a template has been copied, you can make small adjustments without affecting the original version.

Update the template to suit a specific office or workflow:

  • Rename the template to reflect the office or purpose
  • Update task assignments to the correct user or role
  • Adjust task details, deadlines, or dependencies
  • Modify whether the template is Company or Personal

This approach is useful when the new template should stay mostly the same as the original but still require a few office- or process-specific changes.


Understand consultant and shared template access

Task Templates created at consultant level are personal to that user and cannot be accessed by other users. If another user needs to use that same consultant-level template, it would otherwise need to be recreated manually.

This is important when deciding what to copy and where to store it:

  • Consultant-level templates are personal to that user
  • If a workflow should be reused more broadly, consider creating or maintaining the version that your wider team can access from the appropriate shared scope available in your system
