Learn how to record when a property has been sold by another agency or agent. This ensures your database reflects accurate ownership, transaction history, and activity tracking.
The Sold by Other feature allows you to record when a property in your database has been sold by another agency or agent. This helps maintain a complete and accurate record of property ownership, even when your office was not directly involved in the transaction.
By recording these details, your database remains up to date with current owners, past ownership history, and associated activities. This ensures better data integrity and reporting across your property records.
To record the property:
- Go to: Properties
- Search for the property and select it from the results
- In Transactions > +Add > Add Sold by Other
- Search for the new owner(s) and create them if they do not exist
- Select the Agent (selling office) from the dropdown, or choose Other to add a new one
- Select the Consultant (you)
- Enter the Sold Price and Settlement Date
- Add any additional notes if required
- Click Save
Once the transaction is saved, the system automatically updates the property's activities to reflect the new ownership and sale event.
- The existing owner activity is updated to a Past Owner activity
- A new Sold by Other activity is created for the vendor
- A new Owner activity is created for the purchaser
