About duplicate prevention for contacts
Duplicate Contacts can disrupt data quality and reporting accuracy. The Duplicate Contacts setting determines whether users can proceed with adding a new Contact when matching details already exist in the system. Your permission level controls whether you can change this setting.
How it works
The Enabled/Disabled setting changes how the system responds when users attempt to add a Contact with matching details.
Enabled: Users can still create duplicates
When the setting is Enabled, users may still create a duplicate Contact even if an existing record shares:
- the same First Name AND Last Name AND Mobile, or
- the same First Name AND Last Name AND Email
Users will see a suggestion to Use this contact but can ignore it and click Add Contact to proceed.
Disabled: Users are blocked from creating duplicates
When the setting is Disabled, users may still see the Add Contact button, but they cannot complete the new Contact if a duplicate exists.
Instead, they will see an alert that the Mobile or Email must be unique.
Disallow duplicate entries of contacts
To access the setting:
- Go to: Settings
- Select CRM
- Click Manage Duplicate Contacts
- Click the Status to switch between Enabled to Disabled
Once disabled, users will be blocked from creating duplicate Contacts and will receive a message stating that the mobile or email must be unique.
