Automatically creating ledgers for new sales listings helps streamline your accounting workflow. You can configure default trust accounts to ensure consistency and accuracy.
When a new listing is created, the system generates a ledger name using the following format:
- First 4 letters of street name / Unit number / Street number / Ledger number
Example:
For a listing at 3/28 Bourke Street, the ledger name would be: BOUR/3/28/1.
Enable automatic ledger creation
To set up automatic ledger creation:
- Go to: Settings > Accounting > General
- Select your Office from the list to apply settings
- Select an Automatic Ledger Creation option:
- Single ledger per listing - Enables automatic creation for each new listing
- Separate trust accounts for advertising and sales deposit money - Automatically creates two ledgers - one for advertising trust funds and one for deposit trust funds
- If you tick Single ledger per listing, Select a default trust account
- Click Save
Once saved:
- If you selected ‘Single ledger per listing’, all new listings will automatically generate one ledger using your default trust account
- If you selected ‘Separate trust accounts’, each new listing will automatically generate two ledgers — one linked to your advertising trust account and another linked to your deposit trust account
This setup ensures that funds are correctly allocated and reduces the need for manual ledger management.
