About managing duplicate contacts

Duplicate Contact records can disrupt your CRM processes and lead to inaccurate reporting. Regular duplicate management helps maintain a clean and reliable Contact database. User permissions determine who can access and merge Contact records.

Note: You must have the Access Control Level > Global Permissions > Merge Contacts permission enabled to use this feature.

Find potential duplicate contacts

Use the Duplicate Finder to generate a list of Contacts that may match based on selected criteria.

To find duplicate contacts:

  • Go to: Contacts
  • Click More > Find Duplicates

  • Tick the fields you want to match against (e.g., name, email, phone)

  • Click Filter

A list of possible duplicate pairs or groups will appear.

  • Click the View icon to compare the records

  • Compare each field to confirm whether the records represent the same Contact 

When you confirm that the records are duplicates, merge them into a single Master record.


Merge duplicate Contact records

To merge duplicate contacts:

  • Select the Contact you want to keep as the Master by clicking the Select button

  • Review any conflicting information
    • If two non‑appendable fields conflict (e.g., different mobile numbers), the Master record’s data is retained
  • Merge all Matching Criteria to the Master contact checkbox will be ticked by default
  • Untick only if you do not want all matched fields merged

  • Click Merge
Note: Activities (such as Buyer, Vendor, etc.) are appendable, meaning all activity data from both Contacts is retained, Even though these are not visible in the merge preview.
