How it works

Box+Dice is designed to treat each person as a separate Contact record. This approach ensures accuracy across communication, sales, reporting, and relationship tracking.

Creating one Contact per person allows you to:

  • Communicate with people individually or jointly, as needed
  • Attribute sales and purchases correctly
  • Maintain clear, professional records for legal and compliance purposes

When multiple people are entered as a single Contact, Box+Dice cannot reliably determine who should appear in communications or transactions. This often results in incorrect correspondence, inaccurate records, and avoidable compliance risks.


Why separate contacts matter  

Separating Contacts is essential for maintaining accurate and professional records throughout the lifecycle of a sale or purchase.

Scenario: A husband and wife are entered as a single Contact for a property sale. Later, the wife purchases another property in her own name.

If Contacts are combined:

  • The husband appears on the wife’s purchase records
  • He is included on sales vouchers and solicitor correspondence

If Contacts are separate:

  • Both individuals appear correctly on the joint sale
  • Only the wife appears on the individual purchase
  • Records remain accurate, clear, and professional

Add an individual contact

Each individual you work with should have their own Contact record in Box+Dice.

This ensures that:

  • Communications are accurate
  • Sales and purchases are attributed correctly
  • Phone numbers, emails, and addresses remain distinct

To add an individual Contact:

  • Go to: Contacts in Box+Dice
  • Click Add

  • Select Add Contact
  • Enter the person’s details, including:
    • Basic information
    • Personal details
    • Addresses
    • Account details

  • Click Add Contact to create the record

Repeat these steps for a spouse, partner, or any other individual involved in the same matter.

Note: Phone number fields accept numeric characters only. Non-numeric entries will not be saved correctly.

When people are connected (for example, spouses, siblings, or business partners), link their separate Contact records using Relationships.

To link Contacts using Relationships:

  • Go to: Contacts
  • Open Contact A
  • Scroll to the Relationships section
  • Click the Plus sign button

  • Search for Contact B
  • Select the relationship type (for example, Spouse, Daughter, Business Partner)

  • Select Create

Repeat as needed to add additional relationships.


Why linked contact's matter

Using individual Contact records with Relationships ensures the correct person appears in communications, even when only one party is involved.

Best practice examples:

  • For a joint sale, include both Contacts in your mailing list or filters
  • For an individual purchase, select only the relevant Contact
  • Use templates and merge fields to pull each person’s own details
  • Always review recipient lists before sending communications
Important: If a couple is stored as a single Contact, the “other” person may appear in communications where they should not be included.
