About ownership of a contact
Contact ownership in Box+Dice reflects real‑world relationships, where a single contact may interact with multiple consultants for different reasons. Rather than enforcing a single “owner,” Box+Dice records consultant involvement based on actions taken within the system.
In many conventional systems, a consultant can assign themselves as the owner of a contact. In practice, however, contacts often engage with multiple consultants over time.
In Box+Dice:
- Multiple consultants can be connected to the same contact
- Ownership is implied through recorded activity, not by simply assigning a name
- This does not give other consultants permission to take over or “steal” contacts
How consultants become associated with a contact
For a contact to appear against a consultant’s name in the Search Contact screen, the consultant must take specific actions.
A contact is associated with a consultant when they:
- Register the contact as a Buyer
- Create an Appraisal linked to the contact
- Register the contact as an Owner
- Assign the contact to a Category
Without one of these actions, the contact will not appear as connected to that consultant in searches.
Establish clear internal ownership policies
Because Box+Dice allows multiple consultants to interact with a contact, it is essential that each business defines clear policies around ownership.
The following policy suggestions are strongly recommended.
Buyer Claim Policy Suggestions:
- A consultant must have registered a contact in that Listing’s Buyer Register
- At least one, preferably all, notes regarding that consultants conversations with the buyer should be recorded in Box+Dice
Vendor Claim Policy Suggestions:
- A consultant must have registered an Appraisal with that contact
- At least one, preferably all, notes regarding that consultants conversations with the Contact should be recorded in Box+Dice
- At least one future contact activity must be scheduled against the contact record, preferably through a Loyalty campaign
- All interactions, commitments, and follow‑up actions must be recorded in Box+Dice to be recognised
