Learn how to reassign contacts from one consultant to another by creating categories and applying them in bulk.

How it works
When a consultant leaves the business, their contacts can be reassigned to another consultant.
To preserve data integrity, contacts are transferred using categories, rather than directly changing ownership or historical records.
Note: Only Admin-level users can perform this action.
Create a new category
Before transferring contacts, create a category to clearly identify them.
To create a category:
- Go to: Settings > CRM
- Click Set up Categories
- Click + Add contact category
- Create a new category with a meaningful name (for example, John Smith’s Old Contacts)
- Click Save
Tip: Including the former consultant’s name makes it easier to identify and manage these contacts later.
Filter contacts assigned to the old consultant
Next, filter the contact list to display only contacts linked to the previous consultant.
To filter contacts:
- Go to: Contacts
- Click + Add filter
- Select Categories is My Contact
- Click Categories subfilter
- Select Category Consultant > is any of > Old consultant's name
- Click Apply
- Confirm that all relevant contacts appear in the results
- When applying to the new consultant, apply the My Contact category to the new consultant
The selected contacts are now associated with the new consultant.
Note: We do not recommend altering historical data. Contact transfers should always be completed using categories, not by modifying past activities or ownership records.
