Manage listing transfers from another agency

Summary

Learn how to import and match listings transferred from another agency.

This article covers:

Overview

If another agency transfers listings to your business and those listings are already active on property portals, you may need to load them into Box+Dice and match them to the existing portal listings.

Matching the listings ensures that Box+Dice connects to the existing listings already published online, rather than creating duplicate listings. Duplicate listings on portals may result in additional advertising charges depending on your portal agreement.

Transfer the listings to your portal account

Before adding the listings to Box+Dice, the listings must first be transferred from the other agency’s portal account to yours.

Both agencies must contact the relevant portal provider and request the transfer.

  • Contact the portal provider that hosts the listing
  • Request a listing transfer to your agency’s portal account
  • Both agencies may need to complete a transfer form or email approval
  • Wait for the portal provider to confirm that the listing has been moved to your account
Note: Box+Dice cannot manage portal transfers on your behalf. This step must be completed directly with the portal provider REA or Domain.

Add the listings and match the portal IDs

Once the listings have been transferred to your portal account, you need to add the listings to Box+Dice and connect them to the existing portal listings.

There are two ways to do this:

Option 1: Manually add the listings and request portal ID matching

This is usually the fastest option if you already have the listing information.

  • Manually create the property in Box+Dice
  • Add all available listing information such as property details, images, and floorplans
  • Contact the Box+Dice Support team at CS.BoxDice@mrisoftware.com
  • Provide the portal listing details so support can update the portal IDs and match the listing

This ensures the listing connects to the existing portal advertisement rather than creating a new one.

Option 2: Request a listing extract from realestate.com.au

Alternatively, you can request that realestate.com.au (REA) send a listing extract to Box+Dice so the listings can be imported.

  • Contact REA support and request a listing extract
  • Ask them to send the extract to Box+Dice Support
  • Box+Dice can then import the listings into your account
Important: This option can involve additional manual work and some risk of data issues.

For example:

  • If the extract contains incomplete or inconsistent data, duplicate listings could be created.
  • Some important fields are not included in the extract, such as:
    • Vendor names
    • Purchaser names
    • Settlement dates

These details may need to be manually entered after the import.
