Resolve imported listings assigned to the wrong office

Overview

Listings imported from an external CRM are matched to offices using agent information supplied in the incoming data. If an agent cannot be matched correctly, the listing may be created or updated under the default office instead of the intended office.

Box+Dice can receive listing uploads from third-party CRM systems through the Enterprise Importer.

The Enterprise Importer processes REA-format XML files and identifies incoming listings using a combination of property address details and the attached agent information.

To correctly assign listings to an office, the agents included in the incoming data must already exist in Box+Dice and match the imported details exactly.

The following agent details must match:

  • Name
  • Email address
  • Phone number

Why listings are assigned to Head Office

If the attached agent does not already exist in Box+Dice with matching details, the Enterprise Importer cannot identify the correct office for the listing.

When this occurs, the importer creates or updates the listing and attached agent under the default office, which is typically Head Office.

Once an agent has been created under the default office, future listing uploads for that agent will continue to be assigned to Head Office, even if the agent is later added to the correct office.

To prevent incorrect office assignments, ensure all agents are created in Box+Dice before listings are uploaded and that their name, email address, and phone number exactly match the details contained in the incoming CRM data.


Resolve the issue

If listings have already been assigned to the wrong office, the affected agent records must be corrected before the listings can be reassigned.

  • Contact One Agency Head Office or Box+Dice Support and request that the incorrectly created agent records be removed from the default office
  • Ensure the affected agents are added to the correct office in Box+Dice using identical name, email address, and phone number details
  • Re-publish or re-upload the affected listings from the external CRM to Box+Dice

Once the listings are uploaded again and the agent details match correctly, the Enterprise Importer will be able to assign the listings to the appropriate office.
