Learn how to create and customise Library Templates using mail merge fields and formatting tools to generate consistent correspondence.

This article covers:

How it works

Library Templates can be created in Box+Dice and used to generate correspondence either individually or in bulk. All correspondence generated is recorded into the contacts' history. It will show you who, when and what was generated.

There are 2 areas where you can create a Library Template.

  • From Settings
  • From a Contact or Property record

Both options use the same editor and merge field functionality.

Create a Library template from settings

Creating templates from Settings is ideal for centrally managed or reusable templates.

To create a template from Settings:

  • Go to Settings
  • Select Library Templates
  • Click + Add New

  • Enter a template name
  • Select the template type
  • Choose the context (where the template will be generated from)
  • Select a folder and subfolder
Tip: To create your own sub-folder, simply type the name of your new sub-folder and the system will automatically give you an option to create a sub-folder.

  • Click Save

Once the template is created, you can customise the content.

  • Select a Page Setup at the top of the screen
Tip: To change the page margins, click the Edit icon next to Page Setup, then adjust and save the margins from there.
  • Enter your content as you would in Word
  • From the right‑hand pane, select a Category
  • Double‑click a merge field to insert it

Note: If a merge field is ambiguous (for example, First Name), you must use bookends to define the source (e.g. vendor, purchaser, consultant).

Use the formatting tools to align the template with your brand.

Before saving:

  • Apply required formatting
  • Toggle Marketing off if the template is not for marketing purposes

  • Click Save

Create a Library template from a contact or property

You can also create templates directly from where they’ll be used.

To create a template from a Contact or Property:

  • Go to: Contacts or Properties
  • Select the contact or property
  • Click the Library button

  • Select an existing folder, or click the + icon to add a new one
  • Under Templates, click the + icon

  • Enter the template name
  • Select the template type (Email, Letter, Report, or SMS)

  • Click Save
  • Select a Page Setup
Tip: To change the page margins, click the Edit icon next to Page Setup, then adjust and save the margins from there.

  • Add content and merge fields
  • Click Save
Important: When copying content from Word, you must remove all Word formatting before pasting it into the template editor. Pasting formatted content may cause display or formatting issues.
