Overview

Library letters support contacts that have defined relationships, such as linked individuals or organisations. When a contact has relationships, the system provides options that control how those related contacts appear in generated letters.

These options help ensure letters are addressed correctly, whether you need a single combined letter or separate correspondence for each contact.


Control correspondence for related contacts

When you generate a library letter for a contact with relationships, the system displays the following options:

Exclude related contacts from the letter

By default, related contacts are not included.

This option creates a letter addressed only to the contact from whose record the letter is generated.

Include a related contact in the same letter

You can choose to include one or more related contacts in the same letter.

To do this:

  • Click the name of the related contact you want to include
  • Confirm the selected contact appears in the letter preview
  • Complete the letter generation as usual

This creates a single letter that references multiple contacts.

Note: The Contact whose record you generate the letter from will be the first person named in the letter.

Create separate letters for related contacts

You can generate individual letters for each selected contact.

To do this:

  • Highlight the related contact or contacts you want to include
  • Select the option to create separate letters
  • Generate the letters

Each contact receives their own letter, generated from the same template.
