About images and PDFs in library templates and email

Images and PDFs are handled differently when used in templates and emails. Images can be displayed directly within the body of a template or email, allowing them to appear inline with text. PDFs, however, cannot be displayed in the body and are instead handled as attachments.

Understanding these differences helps ensure communications display correctly for recipients and reduces formatting issues, particularly for client‑facing documents. Using the correct method for each file type also helps maintain consistent presentation across templates and emails.


Insert images into a library template or email

Images must be inserted using the editor tools and cannot be copied and pasted directly into a library template or email body.

Supported image file formats include:

  • .jpg
  • .gif
  • .bmp
  • .tiff

To insert an image:

  • Open the library template or email you want to edit
  • Place your cursor where the image should appear
  • Select Insert/Edit image in the editor toolbar

  • Upload or select the image file
  • Click Insert Image

The image will appear inline within the template or email body.

Note: Only supported image formats can be inserted into the body of a template or email.

Attach PDFs with emails

PDF files cannot be inserted into the body of a library template or email.

Instead, PDFs must be added as email attachments when sending communications.

To include a PDF:

  • Open the email you want to send
  • Attach the PDF file before sending

The recipient will receive the PDF as a separate attachment.

Note: The recommended maximum file size for emailing contracts or attachments is 5.24MB to help ensure successful delivery, as most email providers limit attachments to 5–10MB.

Convert PDFs to images (optional)

If a PDF needs to appear visually within the body of a template or email, it must be converted into a supported image format using an external image‑editing application.

Common tools include image‑editing software such as Photoshop. Once converted, the image can be inserted using the Insert/Edit image option.


Resize images in a library template

Images can be resized directly within a library template editor.

To resize an image:

  • Click the image in the template
  • Select Insert/Edit image from the editor toolbar
  • Update the height or width as required

  • Click Update Image to save the changes

You can also resize an image by dragging the edges or corners while keeping the proportions intact.

Note: If display issues persist, remove the image and re‑insert it, then adjust the dimensions again.
