About duplicate property settings
Duplicate property settings determine whether staff can create more than one property record with the same or similar address.
This setting is managed by users with Admin access and helps reduce data duplication while still allowing flexibility when required. Offices can choose whether staff are prompted to reuse an existing property or allowed to intentionally create duplicates.
How it works
The system default is set to Enabled. When the duplicate property setting is enabled, staff can choose how to proceed if a property already exists in the system.
What happens when duplicates settings are enabled:
- If a matching property is found, staff are prompted with options
- They can either select Use this property or choose I still want to create a new duplicate property
- This provides flexibility when duplicate records are unavoidable
Disallow duplicate property entries
If you want to prevent duplicate property records from being created, you can disable the duplicates setting.
When this setting is disabled, staff are required to use the existing property record if a match is found.
- Go to: Settings > Properties > Duplicates
- Select the relevant office
- Click the status option to Disabled
When duplicates are disabled, staff will only see the option 'Use this property'.
