About temp text fields
Temp text fields allow you to manually enter information when generating a library template. They are used in situations where a suitable merge field does not exist in the system.
Instead of pulling data automatically from a contact or listing record, temp text fields prompt you to enter custom text at the time the template is generated. This makes them useful for one‑off details, special notes, or content that varies from document to document.
Temp text fields can be reused within the same template if the same input needs to appear in multiple places.
Add a temp text field to a library template
You can add temp text fields when creating a new template or editing an existing one.
To add a temp text field:
- Go to: Settings > Library Templates
- Select an existing template, or click the Add (+) button to create a new one
- Click your cursor in the space you wish to insert the Temp Text field
- Under Categories, select General fields
- Double‑click Temp Text 1 under Fields
The temp text field is inserted into the template and appears enclosed in square brackets.
Use multiple temp text fields
Each temp text field represents a separate manual input.
- Insert a new temp text field for each unique piece of information you want to capture
- Reuse the same temp text field if the same input needs to appear in more than one place in the template
This helps keep prompted inputs consistent when the template is generated.
Label temp text fields clearly
You can rename each temp text field so users know what information to enter.
To label a temp text field:
- Type the field name after the number in the temp text field
- Do not use spaces
- Use underscores (_) instead
Example:
[Temp_Text_1_Purchase_price]
Clear labels make it easier to enter the correct information during generation.
Save and generate the template
Once temp text fields are inserted and labelled, the template is ready to generate.
To generate the template:
- Click Save in the Library Editor
- Click Go to generate the template
- When prompted, enter the required information for each temp text field
- Click Save
The entered values are merged into the document where the temp text fields are placed.
