About the Box+Dice library

The Box+Dice Library is a central repository for all document templates, including reports, letters, emails, and SMS messages. It allows users to generate consistent, data‑driven documents by merging information directly from the database.

Different libraries are used depending on the screen you are working in. This ensures the correct data and merge fields are available for the document you are creating.


Library templates

The library stores templates for:

  • Reports
  • Letters
  • Emails
  • SMS messages

These templates can include merge fields that automatically pull data from contacts, properties, and listings.

Note: Creating and modifying library templates requires advanced Box+Dice knowledge. Training is recommended before building or editing templates.

Main libraries in Box+Dice

Box+Dice includes four main libraries, each linked to a specific screen:

  • Contact detail library - Used to generate documents for a single contact
  • Property detail library - Used to generate documents for a single property
  • Contact list library - Used when generating documents for multiple contacts
  • Listings list library - Used when generating documents for multiple listings

Each library provides templates and merge fields relevant to the data available on that screen.


Why library content differs by screen

Templates and merge fields vary depending on where you are in the system. This prevents incorrect or incomplete data from being included in documents.

For example:

  • Solicitor details are linked to listings, not contacts, so solicitor letters cannot be generated from a contact screen.
  • Appraisal‑type letters are created from listing data and are not available when working from contact screens.

Because contacts and listings use different data structures, their libraries and merge fields are not interchangeable.

Note: The difference between an Email/SMS Library Template and the buttons on the Contact Search screen is the ability to merge data from the database.

Folder access and personal folders

Both the contacts and listings libraries contain folders and files to help organise templates.

Each staff member has a personal folder that is only visible to them. Personal folders can be used to store custom templates or additional sub‑folders without affecting other users.
